1. Who we are & how to reach us
Standstone Waste & Water Services Ltd. is a family-owned waste and water service company based in Onoway, Alberta, serving Onoway, Lac Ste. Anne County, Parkland County, Sturgeon County, and surrounding rural communities.
We have designated a person responsible for our compliance with privacy law (our “Privacy Officer”). You can reach our Privacy Officer with any privacy question or request:
- Privacy Officer: Trevor Gardner, Standstone Waste & Water Services Ltd.
- Mail: 4304 Industrial Ave, Onoway, AB T0E 1V0
- Email: Trevor@standstonevac.ca
- Phone: 780-967-2118
2. Information we collect
We only collect what we need to respond to and provide the service you ask for. Depending on how you contact us, this may include:
- Contact details — your name, phone number, and email address.
- Location details — your community/area, postal code, and service address.
- Service request details — the service(s) you want, timing, access notes, and any job details you share.
- Messages — what you send us through our forms or website chat, and your communication preferences.
- Basic website data — if analytics or cookies are enabled, limited technical information such as pages visited and general device/browser information (see Cookies & analytics).
3. Why we collect it
We use your personal information to:
- respond to your service request, question, or callback request;
- prepare and confirm quotes, pricing, and availability;
- check route and service-area coverage for your location;
- schedule, provide, and follow up on the service you booked;
- provide customer support and keep service records;
- send service-related messages about your request (for example, confirmations and updates); and
- meet our legal, insurance, and accounting obligations.
We will identify any new purpose before or at the time we collect information for it, and we will not use your information for an unrelated purpose without your consent.
4. Automated systems & AI
We may use automated and artificial-intelligence (AI) tools, run on our own infrastructure, to help us respond to and manage your service request (for example, to organize requests or draft replies). A staff member stays involved in providing your service. We do not use these tools to make decisions about you without human review.
5. Phone calls and recording
If you call us, your call may be answered or assisted by an automated AI voice system and may be recorded, so we can take your request, confirm details, and improve our service. We will tell you this at the start of the call. Call audio may be processed by a third-party voice and telephony provider located outside Canada (see "Cross-border processing"); recordings and any transcripts are then handled on our own systems. You can ask to speak with a person, or decline recording, by calling 780-967-2118.
6. Consent & your choices
By submitting a form or contacting us, you consent to our collecting and using your information to respond to and service your request, and to contacting you by phone, text, or email about that request. This is “transactional” contact about the service you asked for.
Marketing is separate and optional. We will only send you promotional or marketing messages (such as seasonal offers or reminders) if you separately opt in. Opting in to marketing is never required to request or receive service, and you can withdraw that consent at any time.
You may withdraw your consent, subject to legal or contractual limits, by contacting our Privacy Officer. Withdrawing consent may affect our ability to provide a service you have requested.
7. Unsubscribe & do-not-contact
You are always in control of marketing communications:
- Email: use the unsubscribe link in any marketing email.
- Text/SMS: reply STOP to any marketing text message.
- Any time: email Trevor@standstonevac.ca or call 780-967-2118 and ask to be placed on our do-not-contact list.
We honor unsubscribe and do-not-contact requests promptly — and no later than 10 business days. Note that we may still need to send you service-related (transactional) messages about a request you have active with us.
8. Service providers we share with
We do not sell your personal information. When you submit a request, the details are sent to our office by email so we can respond to you. We may also share information with trusted service providers who help us operate, only as needed to provide our service, including:
- our email provider (used to receive and respond to your request);
- website hosting;
- our analytics provider — Google (Google Analytics 4 and Google Tag Manager) — when you consent to analytics cookies (see the Cookies section);
- a voice and telephony provider, if you call us and your call is handled by an automated system or recorded;
- a customer relationship management (CRM) / booking system, which we plan to use to manage requests and bookings;
- professional advisors (for example, accounting or legal), where required.
When we use a service provider, we remain accountable for your information and require, by contract or other means, that it provide a comparable level of protection and use your information only for the purposes we specify.
9. Cross-border processing
Some of our service providers may store or process information outside Canada (for example, in the United States). When information is handled in another country, it may be accessible to the courts, law enforcement, and national-security authorities of that country under that country’s laws. We take reasonable steps to ensure your information receives comparable protection wherever it is processed. If you have questions about where your information is processed, contact our Privacy Officer.
10. How long we keep information
We keep personal information only as long as needed for the purposes described above, or as required by law (for example, accounting, tax, and insurance record-keeping). When information is no longer needed, we securely delete or de-identify it.
11. Access, correction & deletion
You have the right to ask us:
- what personal information we hold about you, and how we have used or disclosed it;
- to correct information that is inaccurate or incomplete; and
- to delete information, where we are not required to keep it.
To make a request, contact our Privacy Officer using the details in section 1. We will respond within the timelines required by law. We may need to verify your identity before acting on a request.
12. How we protect information
We use reasonable physical, organizational, and technological safeguards appropriate to the sensitivity of the information to protect it against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to those who need it to do their job.
13. Cookies, analytics & advertising
We use cookies and similar technologies for two purposes: (a) essential functions that make the site work; and (b) analytics, to understand how the site is used so we can improve it. We do not currently use advertising or social-media tracking pixels (such as the Meta Pixel).
For analytics we use Google Analytics 4 and Google Tag Manager (Google). With your consent, these set cookies and share limited information — such as pages visited, device and browser data, and your IP address — with Google, who may process it outside Canada (see “Cross-border processing”). We use this only to measure traffic and understand how the site is used. We use Google Consent Mode, so unless you accept, these tags are not granted storage and no analytics cookies are set.
Your choice: when you first visit, we ask for your consent before loading any analytics cookies. You can Accept or Decline, and you can change your mind at any time using the “Cookie settings” link in the site footer, by clearing cookies in your browser, or by contacting us. Declining does not affect your ability to request service. Essential storage that simply makes the site work does not require consent.
The site also keeps a small amount of information in your browser’s local storage so it can function (for example, remembering a pop-up you closed, or your cookie choice). You can additionally opt out of Google Analytics with Google’s browser add-on (tools.google.com/dlpage/gaoptout).
14. Questions & complaints
If you have a question or concern about how we handle your personal information, please contact our Privacy Officer first (section 1). We will do our best to resolve it.
If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner of Alberta:
- Office of the Information and Privacy Commissioner of Alberta (OIPC)
- Website: oipc.ab.ca
- Phone: 1-888-878-4044
If a matter involves information processed outside Alberta, the federal Office of the Privacy Commissioner of Canada (priv.gc.ca) may also apply.
15. Changes to this policy
We may update this policy from time to time. The “last updated” date at the top shows when it last changed. Material changes will be posted on this page.
